TERMS & CONDITIONS

These terms and conditions apply to anyone making a booking with City Hen. The party organiser is responsible for ensuring that all group members are aware and adhere to the terms and conditions.

City Hen shall be known as 'CH' in these terms and conditions. These terms and conditions may be updated from time to time. It is the party organiser's responsibility to check the website for any updates to these terms.

Bookings
‘CH’ cannot guarantee any bookings until a non-refundable deposit of £20pp has been received with a completed booking form and a copy of the signed terms and conditions. We are able to hold a provisional booking for you whilst you collect the deposit from the party. Once we receive the deposit, we will then confirm your booking. Once the whole balance has been paid, we will then post you a party pack complete with all directions, maps and reservation details.

If your booking date is less than 42 days away, the full payment will be required in order to confirm the booking.

The final payment is due together with your confirmed group size no less than 42 days prior to your event date. If full payment is not received by this date then we reserve the right to cancel your booking and you will lose the total deposit paid. Payments by cheque should be 1 cheque only, which should be made payable to City Hen.

Cancellations and Amendments
If at any time you wish to cancel your booking, you must inform us in writing and the following charges will apply. It is the customer's responsibility to ensure that all cancellation requests are correctly submitted. Please quote your booking reference in the email.

More than 42 days from booking date – you will lose the £20 deposit paid per person.
42 - 14 days - you will lose 50% of the total costs of your event.
Less than 14 days - You will lose 100% of the total costs of your event.

If you wish to amend the number of people on your booking, you may do so with no loss of deposit (subject to minimum group size) up to 42 days before your event in writing. Amendments less than 42 days before your event are at our discretion. No amendments will be accepted less than 14 days from the date of travel. If a group member needs to cancel within 14 days of travel we will not be able to offer any refund. You should take out travel insurance that covers for cancellations.

If for any reason we are unable to provide part of your event, we will offer an alternative. If you choose not to accept this alternative, we will issue a refund for that part of the event.

If you need to change your dates of travel, there may be other rates valid for the new dates requested. If we cannot accommodate your requested amendment, your booking will automatically revert to its original status although we will always endeavour to offer a suitable alternative.

Money paid to us
As required by law under The Package Travel, Package Holidays and Package Tours Regulations 1992 (SI 1992 No 3288), all monies paid to us is held in a separate trust account for your safety and reassurance. These arrangements ensure that payments made by you for your weekend would be refunded in the unlikely event of insolvency.

Descriptions of events
Information and descriptions given on the website and other literature used by 'CH' are correct at the time of print.

Photographs are used for illustration purposes only and are intended as a guide. Duration and itineraries stated may vary depending on suppliers and the number of participants on the day and may indicate the time you are at the venue and not the time you are participating in an activity. City Hen do their utmost to ensure that activities are as described but cannot be held responsible for any variations due to change by suppliers in location, equipment used and itineraries. Exact details will be given at time of booking.

In the unlikely event that City Hen needs to change a venue after it has been confirmed with you, we will always let you know in advance.

Dress Code:
City Hen caters for parties that want something different to the traditional hen night. This is why we have chosen venues that do not allow any dressing up, dressing in the same colour, any headgear or any paraphernalia of any kind. Each venue will accept you as a group of ladies – not as a hen party. Each venue shouldn’t be able to guess who the hen is. We recommend that you ask your party to dress with a sophisticated and glamorous dress code. Should you refuse to adhere to these dress code terms, it is your responsibility should you be refused entry into one of the venues we have booked you into.

Supplier and Venue Terms
The minimum age for all activities and venues is 21 years (unless shown in the individual description). If anyone in your group looks younger than 21 they should carry photo identification.

Our suppliers have their own terms and conditions. These will be sent with your confirmation and should be made aware to all party members.

Individual venues will have their own house rules, which will be explained to you and must be followed.

Please note that times on the website are a guide and may be amended due to availability.

Accommodation:
We will always try and book twin, triple and single room accommodation for your party, however, due to availability we may have to book double rooms.

Behaviour
All activity suppliers are aware that you are on a hen party. They know that the emphasis is on fun but have the right to terminate any activity, transport or accommodation for dangerous, violent or inappropriate behaviour. City Hen will accept no liability for any incident that occurs by any of the group whilst under the influence of alcohol or drugs.

Insurance
All suppliers carry public liability insurance.

By booking a weekend with us you agree to insure each member of your group to fully cover against personal accident or injury, loss of baggage and personal property, Cancellation and Curtailment, as we do not organise travel insurance on your behalf. Links to on-line insurance companies that offer a range of products can be found in the ‘Useful Links’ section of the website.

Liability:
We can accept no liability whatsoever for any death, personal injury, loss or damage of any kind, unless caused by our own negligence. Insofar as we have any liability to you, then proceedings in respect of any such liability shall be governed by English law and the exclusive jurisdiction of the English Courts.

Complaints
If you have a problem or complaint on the day, please bring it to the attention of the host or event manager at the venue as soon as possible so they have a chance to put matters right. If you are still unhappy please write to us within 14 days of the event with your complaint and we will take the matter up with our supplier.

Cancellations by us:
If the accommodation provider alters or cancels your booking, provided we are informed by it, we will inform you as soon as reasonably possible and will seek to ensure that the relevant hotel manages any change of accommodation as quickly and efficiently as possible. It may not always be possible for us to notify you of any change before your departure. In the event of a cancellation by the accommodation provider, we have no liability to you to make refunds or pay any compensation.

Complaints:
In the unlikely event of you being unsatisfied with your hotel, please discuss any issues directly with the hotel management. Should you still feel that the complaint has not been resolved, please put your complaint in writing with full details of the actions you have already taken and send it to us within 7 days of your return.

Accommodation Liability:
Given that we only act as agents for the accommodation provider, we can accept no liability whatsoever for any death, personal injury, loss or damage of any kind, unless caused by our own negligence. Insofar as we have any liability to you, then proceedings in respect of any such liability shall be governed by English law and the exclusive jurisdiction of the English Courts.

Privacy
'CH' will only use your details to process your order with our suppliers for administration purposes and processing. We do not issue them to third parties for marketing purposes.

Force Majeure
'CH' will not be liable for compensation for any unusual or unexpected circumstances beyond our control, which we could not have avoided. Force majeure means circumstances beyond our control (but not limited to) industrial disputes, natural disasters, fire, technical problems, bad weather and acts of Government.
